Renewal reminders, sent early enough to matter
Most gyms remind members on the day the plan ends, or a week after. By then the member has mentally left.
Send the first reminder fifteen days before the due date, with the plan name, the end date and what renewal costs. Send a second three days before. Keep both short, and make it easy to reply.
Members who reply open a 24-hour window, so your team can answer questions about plan upgrades or a pause without any template.

The member who stopped coming
Attendance is the early warning. If your gym software knows who has not scanned in for two weeks, that list is the most valuable one you have.
Send those members a message that is not a sale: "We have not seen you in two weeks — is everything alright? Would a morning slot suit you better?" On Pro, your software can send it automatically.
Some will answer honestly — travel, injury, work. Those answers tell you which member is saveable and which is gone, and a saved member is a renewal you already paid to acquire.
Class updates, trainer changes and small studios
For yoga, pilates, zumba and CrossFit-style studios, the daily operating messages matter as much as marketing.
- Tomorrow's class timings and the trainer taking it.
- A cancelled class, sent the moment you know.
- A new batch opening, to the list that asked about that batch.
- Diet or workout PDFs from the media library, sent by the trainer from the studio number.
Using the studio's number instead of a trainer's personal phone keeps the member list with the business when a trainer leaves.
Turning enquiries into trials
Most gym leads come from an ad or a walk-past. On Pro, a chat flow asks goal, preferred time and locality with buttons, then hands a sorted lead to the sales person.
Offer a trial session with a specific date rather than an open invitation. "Free trial on Saturday 7 am, shall I book you?" gets answered; "come anytime" does not.
Keep enquiry lists separate from member lists, so a trial offer never goes to someone who is already paying you.

Messages a member is happy to receive
Fitness members are quick to mute a business that only sells. Keep a simple rule: two useful messages for every one that asks for money.
- A milestone — "That is your 25th session this quarter. Well done."
- A change that affects them — a trainer swap, a holiday timing, a new machine on the floor.
- A small tip from the trainer, once a week, in two lines.
- A slot offer when the gym is empty — "mornings are quiet this week, come at 7".
Then the renewal message, when it comes, arrives from a number the member already reads instead of one they have learned to ignore.
Keep lists by plan type and by goal. A weight-training member does not want the yoga batch message, and sending it is how you get muted.
What the platform does not include
It is not gym management software. There is no attendance tracking, no plan expiry database, no class booking calendar and no payment collection inside WhatsApp. Your gym software or register keeps those, and the message carries a payment link.
The bot is rule-based, not AI, so it cannot write personal workout plans. And every message goes only to members and enquiries who opted in.
Plans for a studio or a chain
A single studio sending renewals and class updates by hand works on Starter at ₹790 a month. Growth at ₹990 adds member and enquiry lists plus the after-hours bot. A chain whose software should send renewal and attendance messages takes Pro at ₹1,290. No setup fee — see the plans page.
Send us your plan names with prices and durations, your class timetable, and your five most asked questions. See also salons and spas, where the reminder pattern is similar.
