WhatsApp Chatbot for Business — What It Does and What It Does Not

Most questions your business gets on WhatsApp are the same five questions. Timings. Address. Price. Is it in stock. How do I book.

A WhatsApp chatbot for business answers those at 11 pm, without a person. The rest go to a person. This page explains how ours works, in simple words, including what it cannot do.

What the bot does

Four things, on the Growth and Pro plans:

  • Welcome message — the first reply to a new customer, with your name and what you do.
  • Keyword replies — a customer types "price" or "timing" and gets the answer you wrote.
  • Away message — outside working hours, a reply that says when a person will answer.
  • Default reply — for anything the bot was not told, a polite "a person will reply shortly".

On Pro, chat flows add menus. The customer taps buttons — what are you looking for, which branch, which date — and the answers are saved before anyone picks up.

It is not AI, and that is fine

Be clear about this before you buy any chatbot. Ours follows rules you and we write. It does not include a GPT or AI engine that reads a question and invents an answer.

For a business that is a good thing. An AI bot can promise a discount you never offered or quote a price that changed last month. A rule bot says only what you told it to say. When it does not know, it hands over to a person, which is exactly what your customer wanted.

The trade-off is that you write the answers. It takes an afternoon. You already know the five questions.

Handoff — the feature that matters most

A bot that traps a customer is worse than no bot. Ours is built to let go.

The customer types "talk to agent", or "human", or anything you set, and the chat moves to the team inbox with the bot's notes attached. The same happens when the customer answers a menu with something the menu did not expect. Nobody is stuck in a loop.

In the inbox, the chat shows what the bot already asked and what the customer said. The person picks up from there, not from the start.

Ads that land in WhatsApp

A click-to-WhatsApp ad on Facebook or Instagram sends a lead into your chat with one word: "Hi". By the time someone replies the next morning, the lead is cold.

A chat flow catches it. Welcome. A button menu — what are you interested in, which area, what budget. The answers are saved. If the customer wants a person, handoff. If not, the sorted lead is waiting in the inbox at 10 am.

This is the single biggest reason businesses running ads move to the API. The ad money is the same. The number of leads that get answered doubles.

Examples from real businesses

  • Clinic — "book" starts a flow: which doctor, which day. The reception confirms from the inbox.
  • Coaching class — "fees" and "batch" get instant answers. "Admission" goes to a counsellor with the student's class and city already noted.
  • Shop — "timing" and "address" answered by the bot. "Is this in stock" goes to a person.
  • Restaurant — "menu" sends today's menu image. "Book a table" starts a flow: how many, what time.
  • D2C brand — "size chart" and "return policy" from the bot; "where is my order" to a person, or to your store through the API.

Every one of these took under a day to set up.

The 24-hour window and the bot

When a customer messages you, a 24-hour window opens in which you can reply freely. The bot replies inside that window, instantly, so the window is never wasted.

The open-chats page lists every customer inside their window with a countdown. Your team answers the ones the bot handed over while free replies are still allowed. After the window closes, only an approved template can go out.

The bot cannot start a conversation on its own. It replies. Reaching out first is a campaign with a template — see WhatsApp marketing software.

What it does not do, and what it costs

It does not include AI. It does not take payments inside the chat. It does not show a catalogue or a cart inside WhatsApp; the message carries a button to your website. It does not make voice calls; click-to-call opens the phone dialer. It does not include a CRM; leads are saved as contacts and can be sent to your own software through webhooks on Pro.
