It happens to every online store: a buyer pays by UPI, money leaves their account, but your store shows the order as unpaid. The buyer is worried, and so are you. Here is a calm, simple way to handle a UPI payment that failed but money was deducted.

Why it happens

A UPI payment passes through the buyer's bank, the UPI network, the payment gateway and your bank. If one step times out — common on busy festival days — the buyer's bank may debit the money while your store never receives a success message.

Step 1: Check the real status

Open your payment gateway dashboard (for example, Razorpay) and search for the buyer's payment by amount, time or phone number. You will usually see one of three states:

  • Captured / successful — the money reached you. Mark the order paid and ship.
  • Failed — the money did not reach you. It will go back to the buyer.
  • Pending — wait a little; it usually settles one way or the other.

Step 2: Tell the buyer clearly

Under RBI's rules for failed digital payments, when a buyer's account is debited for a merchant payment but the merchant does not get confirmation, the amount should be reversed automatically within T+5 days (T is the day of the payment). If the bank is late, it must pay the customer compensation of ₹100 per day.

A simple message:

"Hi Priya, your payment of ₹1,450 did not reach us due to a bank delay. Don't worry — your bank will return it automatically, usually within a few days. Please place the order again or choose cash on delivery. If you need help, reply here."

Step 3: Avoid double payment

Many buyers pay again in panic and then see two debits. Ask them to wait a few minutes before retrying, or offer a different method — card, net banking or COD — so the first payment can settle.

Step 4: Never ship an unpaid prepaid order

Ship only when your gateway shows the payment as captured. A screenshot from the buyer's app is not proof that you received the money.

Step 5: If the money did reach you

Sometimes the payment succeeds late. If you find a captured payment for an order you had cancelled, either ship it or refund it promptly through your gateway — and tell the buyer which one.

Reduce failures in the festive rush

  • Show more than one payment option at checkout.
  • Keep COD available for small orders.
  • Send an order confirmation only after payment is captured.
  • Check pending payments every evening during sales.

Our online stores take UPI, cards and net banking through Razorpay, with cash on delivery as a backup, and show every order's payment status in the admin panel. See online store plans or read how to move buyers to UPI.
