For an NGO, a donor is not a one-time buyer. They come back when they feel thanked and see the difference they made. WhatsApp is where most Indian donors already are. Here is how to use it well for donor thank-yous, receipts and updates.

1. Thank donors the same day

"Dear Mr. Sharma, thank you for your donation of ₹2,000 to Asha Foundation. Your gift will help us provide school kits to children in our Indore centres. We are grateful."

A same-day thank-you matters more than a perfect one a week later.

2. Send the receipt

Donors who want a tax deduction under Section 80G need a proper receipt or certificate from you. Send the receipt as a PDF in the same chat, with a short note:

"Please find your donation receipt attached. Keep it for your records. Your annual 80G certificate will follow after we file our statement."

Check the exact receipt and certificate rules with your CA — they are set by the Income Tax Department.

3. Share impact, not just appeals

Every few months, send a short update with a photo:

"Thanks to donors like you, 120 children received school kits this month. Here is a photo from our Bhawarkuan centre."

Donors who see results give again — often without being asked.

4. Volunteer reminders

"Hi Rohit, thanks for signing up for Sunday's food drive. Please reach the community hall at 8 am. Reply YES to confirm."

5. Event invitations

"You're invited to our annual day on 14 December, 5 pm, at Ravindra Natya Griha. Reply to register."

Respect and consent

  • Message only donors and volunteers who agreed to hear from you.
  • Don't send appeals every week — two or three updates a month at most.
  • Protect beneficiaries' privacy, especially children. Don't share identifiable photos without consent.
  • Make it easy to stop: "Reply STOP to stop updates."

When the team is small

Most NGOs run on a few staff and many volunteers. With the WhatsApp Business API, everyone works from one official number in a shared inbox, so donors always hear from the organisation, not someone's personal phone. Receipts and thank-yous can go out as approved templates. See WhatsApp for NGOs or our plans from ₹790 a month.

General information. Check 80G receipt and certificate rules with a qualified CA.
