A buyer messages: "I got the wrong colour!" Your heart sinks. But a complaint is also a chance. A buyer whose problem is solved quickly and politely often trusts you more than one who never had a problem. Here is a simple way to handle customer complaints.

The 4-step method

  1. Reply fast. Even if you can't solve it yet, say you've seen the message.
  2. Say sorry and listen. Don't argue. Ask for photos and the order number.
  3. Offer a clear fix. Replacement, refund or exchange — with a date.
  4. Follow up. Confirm when it's done, and thank them for their patience.

Ready replies for common problems

Wrong item:

"So sorry, Neha — that's our mistake. Please share a photo of the item you received. We'll send the right one tomorrow and arrange pickup of the wrong one at no cost to you."

Damaged parcel:

"We're sorry it arrived damaged. Please send a photo of the item and the box. We'll replace it or refund you — whichever you prefer."

Late delivery:

"Sorry for the wait. Your parcel is with the courier and should reach you by Thursday. Here is the tracking link. We'll keep an eye on it."

Refund delay:

"Your refund of ₹1,250 was processed on 10 Oct. Banks usually take 5–7 working days to show it. Here is the reference number."

Things to avoid

  • Blaming the courier or the buyer.
  • Long silence — it makes people angrier.
  • Arguing in public comments on Instagram. Move the chat to private messages.
  • Promising dates you can't keep.

When the buyer is wrong

Sometimes the buyer chose the wrong size or didn't read the description. Stay polite. Explain your return policy kindly, and if you can, offer an exchange. The cost of one exchange is small compared to a bad review.

Learn from every complaint

Keep a simple list: what went wrong and why. If many people complain about sizes, add a better size chart. If parcels break, improve packing. Complaints show you exactly what to fix.

Ask for a review after

Once the problem is solved and the buyer is happy, it's fine to ask: "Glad we could fix it! If you're happy, a review would help us." Many buyers are generous after a good recovery.
