Same WhatsApp, two different products
The WhatsApp Business app is the green icon on a phone. One number, one device. A profile, a small catalogue, quick replies, a broadcast list. It is free and it is good for what it is.
The WhatsApp Business API is not an app. It is WhatsApp for software. A web inbox for a team. Campaigns of approved templates to opted-in lists. Bots. A connection your own website can send through. It is paid.
The same number cannot be on both at once. Moving to the API means leaving the app.

What the free app does well
For one person answering messages, the app is hard to beat. Replies are instant. The phone is always in your pocket. A broadcast list reaches a few hundred saved contacts for free.
It stops in four places. The broadcast list has a hard cap. Only one person can really run it. There is no automation beyond a greeting. Nothing else — your website, your billing software — can send a message through it.
There is a fifth, quieter limit. No reports. You do not know how many people read your broadcast.
What the API adds
A shared inbox where a team replies from one number. Campaigns to thousands of opted-in contacts with sent, delivered and read counts. Approved templates that reach people who have not saved your number.
On higher plans: an auto-reply bot, chat flows that collect details from an ad lead, handoff from bot to human, and contact lists. On Pro: API access and webhooks so your store sends order updates by itself.
And a verified business name on the customer's screen. For a business messaging new people, that is the difference between a reply and a block.

What you give up when you move
Being honest here saves you a bad week later.
- No phone app. The inbox is a website. On the road, you open it in a browser.
- Free replies only inside 24 hours after the customer last messaged you. After that, only an approved template.
- Every marketing message needs a template approved in advance. That takes minutes to a day.
- Chat history from the app does not move to the API. Old chats stay on the phone.
- It costs money every month.
Many businesses take a fresh number for the API and keep the old one on the app for a while. That is a sensible way to move.
Who should stay on the app
A shop with one person answering and customers who have saved the number. A tutor, a consultant, a tailor — anyone whose messages are conversations, not campaigns.
If your broadcast list has never hit its cap, nobody else needs to reply from your number, and you have never wished a message could send itself at midnight — stay on the app. Moving would only add a monthly fee.
We say this plainly. A business that moves too early leaves within three months. That helps nobody.
Who should move — and how
Signs it is time:
- Two or more people answering the same number
- A broadcast list that hit its cap, or a customer list the app cannot reach
- Enquiries after hours with nobody to answer
- A website or billing system that should send confirmations on its own
- Facebook or Instagram ads that land in WhatsApp and get lost
Any two of these, and the API pays for itself in the first month.
The move takes about two days. A number not on the app (or one you migrate), Facebook Business Manager access, and business details. Then your first template, list and campaign. The bulk sending page walks through it. Prices are on the pricing page.
