A printed circular gets lost in a school bag. An email goes to a folder nobody opens. A short WhatsApp message for parents is read the same day. Here are simple notice templates for schools and coaching institutes.
Before you start
- Use one official school number, not teachers' personal phones.
- Keep parents in lists by class and section, or by batch.
- Take consent at admission for WhatsApp updates.
- Never share marks, health or discipline details in a group message.
Fees
1. Before due date: "Dear Parent, the fee of ₹12,500 for Aarav (Class 6B) for Oct–Dec is due on 10 October. Pay online: [link]. Thank you."
2. On due date: "Dear Parent, a reminder that Aarav's fee is due today. If already paid, please ignore this message."
3. Received: "Thank you. We have received ₹12,500 for Aarav's Oct–Dec fee."
Exams and results
4. "Half-yearly exams for Class 6 begin on 3 November. The date sheet is attached. Please make sure your child has the admit card."
5. "Results for the unit test are now available on the school portal. Please log in with your ward's ID."
Holidays and schedule changes
6. "The school will remain closed on 20 October for Dussehra. Classes resume on 21 October."
7. "Due to heavy rain, school will close at 12 noon today. Buses will leave at 12:15 pm."
Meetings and events
8. "Parent–Teacher Meeting for Class 6 on Saturday, 25 October, 9 am to 12 noon. Reply with a preferred time slot."
9. "Annual Day on 14 December. Children in the dance group must attend rehearsals from 1 December, 2–4 pm."
Transport
10. "Bus Route 4 is running 20 minutes late this morning due to traffic. Sorry for the inconvenience."
Coaching institutes
11. "Dear Parent, Riya's weekly test is on Sunday at 10 am. Last week's score and rank are on the student app."
12. "New JEE batch starts on 1 November. Reply INFO for fees and timings, or visit the office between 10 am and 6 pm."
Tips for better notices
- Put the most important fact — date, amount, action — in the first line.
- Keep each message short. Attach a PDF for long details.
- Send in the language most parents read; many schools send Hindi and English versions.
- Send during the day, not late at night.
Sending to the whole school
Forwarding to fifty WhatsApp groups takes hours and exposes parents' numbers. On the official WhatsApp Business API, each notice goes privately to every parent on the right list, and replies come into one shared inbox the office manages. On our Growth and Pro plans you can keep class-wise lists, and an auto-reply can answer common questions — timings, fee dates, address — after office hours.
See WhatsApp for schools and coaching or read polite payment reminder formats.

FAQs
How should a school send fee reminders on WhatsApp?
Send a friendly reminder a few days before the due date, another on the due date, and a thank-you after payment, each with the student's name, amount and a payment link.
Should schools share marks on WhatsApp?
Not in group messages. Share results through the school portal or one-to-one, and keep health and discipline matters private.
Is it better to use WhatsApp groups or the API?
Groups expose parents' numbers and get noisy. The API sends each notice privately to every parent on a list, with replies in one office inbox.
Can the school answer parents after office hours?
Yes. On Growth and Pro, an auto-reply answers common questions like timings and fee dates until staff are back.
