Chasing payments is the part of business nobody enjoys. A phone call feels awkward; an email gets ignored. A short, polite payment reminder message on WhatsApp is read within minutes — and with a UPI link inside, many customers pay right away.
What every reminder should have
- The customer's name — it feels personal, not like spam.
- What the payment is for — invoice number, order or month.
- The amount — exact, with ₹.
- The due date.
- One way to pay — a UPI link or bank details.
- A way to ask questions — "reply here" or a phone number.
Before the due date (friendly)
1. "Hi Rahul, a quick reminder that invoice #245 for ₹8,400 is due on 5 October. You can pay here: [UPI link]. Thank you!"
2. "Namaste Sharma ji, aapka ₹3,200 ka bill (order #118) 5 tareekh ko due hai. Payment link: [link]. Dhanyavaad!"
3. "Hello Priya, your fee of ₹2,500 for October is due this Friday. Pay by UPI here: [link]. Reply if you have any questions."
On the due date (clear)
4. "Hi Rahul, invoice #245 for ₹8,400 is due today. Please pay using this link: [link]. If already paid, kindly ignore this message."
5. "Namaste, aaj aapka ₹3,200 ka payment due hai. Link: [link]. Agar payment ho gaya hai to is message ko ignore karein."
After the due date (polite follow-up)
6. "Hi Rahul, we have not yet received ₹8,400 for invoice #245, due on 5 October. Could you please pay using [link], or let us know if there is a problem?"
7. "Namaste Sharma ji, ₹3,200 ka payment abhi pending hai. Koi dikkat ho to bataiye, hum madad karenge. Link: [link]"
8. "Hello, just checking — did you receive our invoice #245? The amount of ₹8,400 is now 7 days overdue."
Final notice (firm, still polite)
9. "Dear Rahul, invoice #245 for ₹8,400 is now 30 days overdue. Please clear it by 10 November to avoid a hold on new orders. Pay here: [link]."
10. "Namaste, ₹3,200 ka payment 30 din se pending hai. Kripya 10 tareekh tak payment karein, warna naye orders hold par rahenge."
Thank-you after payment
11. "Thank you, Rahul! We have received ₹8,400 for invoice #245."
12. "Dhanyavaad Sharma ji, aapka ₹3,200 ka payment mil gaya hai."
A thank-you matters. It closes the loop and makes the next reminder easier.
Timing that works
- First reminder 3–7 days before the due date.
- Second on the due date.
- Follow-ups after 3, 7 and 15 days.
- A final notice after about a month.
Send during working hours. Avoid late nights and festival mornings.
Common mistakes
- Angry or threatening words — they cause blocks, not payments.
- No payment link — every extra step delays the money.
- Messaging from different staff phones — customers get confused.
- Forgetting to stop reminders after the customer has paid.
Sending reminders to many customers
If you have dozens or hundreds of customers, the official WhatsApp Business API helps. Payment reminders go as approved utility templates with the name, amount and date filled in for each person. On our Growth and Pro plans you can also send a template to a single customer from the inbox, even after the 24-hour window has closed, and every reply comes into one shared inbox.
